Draft privacy policy
This working draft describes the intended handling of dealership, vehicle, supplier and customer records. It is not yet the final policy.
Information the service may hold
Dealership details, authorised user details, vehicle particulars, purchase and sale records, buyer and seller contact information, receipts, invoices, compliance documents, photos, audit history and service-usage records.
Why it is used
To provide dealer recordkeeping, form preparation, document storage, reporting, backups, account administration, security monitoring and customer support.
Storage and providers
The intended service uses managed cloud database and file storage. Optional connections such as Google Drive, Xero, billing and vehicle lookup would send only the information needed for the requested function to the chosen provider.
Access, retention and deletion
Dealership records should only be available to authorised members of that dealership. Retention and deletion controls must account for statutory motor-dealer, tax and accounting obligations before records can be permanently removed.
Contact and complaints
The final policy must name the operating legal entity, privacy contact, Australian address and complaint pathway before customers are invited.
